Self-hosted

Your guest list, and the card data it should never touch

Hospitality has no HIPAA. It has a card terminal and a guest list, and both are worth stealing. Put your phone through a hosted service and your guest names, numbers and stay history sit in a vendor database that also holds the restaurant across the street.

Self-hosted keeps the guest list where it belongs, which is with you. And the agent is scoped so it never touches a card number in the first place, which is a cleaner answer than a compliance claim.

Will it annoy regulars who expect to speak to us?

Set it to overflow. Your phone rings for your team first, and the agent picks up only what would otherwise ring out. Every regular you would have reached still reaches you.

Can it take a deposit for a large booking?

It takes everything except the card. Group size, date, menu choice, contact details, then it texts a payment link or passes the call to a person. We keep it away from card details on purpose.

What does it do about allergies?

It records them in the booking exactly as the guest said them, and flags the booking for a human to read before service. It will not tell a guest whether a dish is safe. That answer comes from your kitchen.

What does self-hosted mean in practice?

The agent runs on infrastructure you control, which for most businesses is a cloud account in your own name rather than a server in your building. The call audio, the transcripts and the customer details sit on your systems rather than on a platform vendor's, so you can audit where everything is and delete it yourself.

What does it cost?

After that you pay your telephony and compute providers directly on your own accounts, so there is no per-minute margin sitting between you and your own phone line. Will it replace our receptionist?

That is not usually what happens or what we would suggest. It runs as overflow, taking the calls that would otherwise ring out: after hours, during the rush, and when everyone is already on the phone. The people who answer today keep answering, with fewer interruptions and a shorter callback list.
