For dental and medical practices
The new patient who called at 6:40pm booked with the practice that answered.
Toothache does not wait for Monday. Someone in pain calls three practices and books with the first one that picks up. Your voicemail is the reason the other two got the patient.
from $1,000 to build. Telephony and compute at cost, on your own accounts.

The calls you are losing
These are the ones that do not call back
- The 7pm broken crown, who has all weekend to find someone else
- The new patient inquiry that hits voicemail while the front desk is chairside
- The insurance coverage question that nobody ever calls back about
Your front desk is assisting, taking payments and answering the phone at the same time, so the phone is what loses. A caller in pain does not leave a voicemail, they call the next practice.
Every hygiene recall you do not chase by phone is a chair you fill late at a discount, or do not fill at all.
Out of hours you have a machine that tells people to call back tomorrow, and a treatment plan worth four figures decides overnight that it was not that urgent after all.
What it handles
Scripted for dental and medical practices
- Books, moves and cancels appointments straight into your practice software, against the right provider and the right appointment length
- Runs your screening questions in your order, then books, escalates or pages the on-call provider exactly as you told it to
- Chases recalls and lapsed patients by outbound call, which is the job everyone means to do and nobody has time for
- Answers what the front desk repeats forty times a day: fees, financing, parking, what happens at a first visit, which plans you take
- Fills a short notice cancellation by calling down the waiting list before the slot goes cold
Where it stops
It never gives clinical advice and never tells a patient whether something is serious. Anything clinical, anything that sounds like a complaint, and anything it has not been given an answer for goes to a named person on a rule you write.
A call, start to finish
What the caller hears, and what you get afterwards
Friday, 7:12pm. The practice closed at five.
- AgentGood evening, Northgate Dental. I am the practice's automated assistant, and I can pass you to a person whenever you ask. How can I help?
- CallerHalf a crown has come off. It is really sore.
- AgentSorry to hear that. Is there any swelling or bleeding?
- CallerNo, just sore.
- AgentThank you. I cannot advise on treatment, but I can get you seen. We hold emergency slots at 8:40 and 9:20 tomorrow morning. Which suits you?
- Caller8:40.
- AgentBooked. You are with Dr Alvi at 8:40, and I am texting you the address and the parking now. If the swelling starts tonight, the after hours number is on that text.
What the business gets
In the schedule before the practice manager wakes up, with the call summary on the patient record and the on-call provider notified. No voicemail, no callback list on Monday morning.
Sample script on a fictional business. Yours is written around your own calls.
Self-hosted
Patient calls that never leave your building
A hosted answering service records your patient's voice, keeps the transcript, and holds a copy of your appointment book on a server you have never seen and cannot audit. Ask where that recording sits and who on their side can play it back, and the answer is usually a page of policy rather than a location.
Self-hosted is the opposite arrangement. The agent runs on infrastructure you control. The audio, the transcript and the patient details are on your systems from the first second, and there is no third-party platform holding a copy of a conversation about someone's health.
- Call audio stays on your infrastructure
- Transcripts stay on your infrastructure
- Nothing is sent to an outside service to be stored or used for training
- You set the retention period
- When you delete a call it is actually gone
We are not printing a compliance badge on this page. What we will do is document where every piece of call data sits, sign what your compliance lead asks us to sign, and hand you the retention controls before go-live. Your HIPAA obligations stay yours. Our job is to avoid adding a processor you would otherwise have to audit.

What it plugs into
It writes into the system you already run
Practice management
Dentrix, Eaglesoft, Open Dental, Curve Dental
Calendars
Google Workspace, Microsoft 365
Messaging
SMS confirmation after every booked call
Where a system has a usable API we connect to it. Where it does not, we tell you that before you commit rather than after. How we build them.
Outbound, once inbound is settled
The calls nobody gets around to making
- Recall and hygiene reminders
- Waiting list callbacks when a slot opens up
- Follow-up on treatment plans presented but not accepted
Outbound calling is regulated in most places. We build the consent rules and the calling windows to your jurisdiction before it dials anyone.

Find out what your phone is actually losing
Send us a month of call data. We will tell you what rang out, what it is plausibly worth, and whether this is worth building for you.
Questions from dental and medical practices
Will patients know they are talking to a computer?
Yes, because it says so in the opening line and offers a person straight away. Practices that hide it collect complaints. Practices that say it plainly collect bookings.
Can it write into our practice management system?
That is the point of it. It books into your schedule against the right provider and the right appointment length, and it writes the call summary back. Where a system has an API we connect to it. Where it does not, we tell you that before you commit, not after.
What happens with a real emergency out of hours?
You write the rule and we build it. Typically it takes the details, tells the patient what to do next in your words, books the first emergency slot and pages whoever is on call. It never decides how serious something is.
What does self-hosted mean in practice?
The agent runs on infrastructure you control, which for most businesses is a cloud account in your own name rather than a server in your building. The call audio, the transcripts and the customer details sit on your systems rather than on a platform vendor's, so you can audit where everything is and delete it yourself.
What does it cost?
from $1,000 to build and deploy. That is the build: scripting, integration, deployment and testing on your infrastructure. After that you pay your telephony and compute providers directly on your own accounts, so there is no per-minute margin sitting between you and your own phone line. We show you what a month costs at your call volume before you commit.
Will it replace our receptionist?
That is not usually what happens or what we would suggest. It runs as overflow, taking the calls that would otherwise ring out: after hours, during the rush, and when everyone is already on the phone. The people who answer today keep answering, with fewer interruptions and a shorter callback list.
Not quite your line of work?
The build is the same. The scripts and the rules about what it must never say are not.

Stop losing the call to whoever answers first
It runs beside your existing phone system first, so nothing changes for the callers you already reach. You switch more of the line over when the transcripts convince you.
